This Acceptable Use Policy (“Policy”) forms part of the Terms of Service governing the use of the Waypilot application, website and associated services (collectively referred to as the “Services”). By accessing or using the Services, you agree to comply with this Policy. If you do not agree with this Policy, you must discontinue use of the Services.
This Policy is intended to ensure that Waypilot remains reliable, secure and available for all users. It explains the standards of conduct expected when using the Services and the circumstances in which Waypilot may take action to protect its platform, users and infrastructure.
1. Purpose of the Services
Waypilot is a travel planning platform designed to assist individuals with organising, managing and enjoying their journeys. The Services allow users to create travel itineraries, manage bookings, store travel-related documents, communicate with Waypilot’s AI Concierge, and access other travel planning features.
The Services are provided for personal travel management unless otherwise expressly agreed in writing. They are not intended to operate as a general cloud storage service, a commercial artificial intelligence platform, or infrastructure supporting unrelated third-party services.
2. Interpretation of “Unlimited”
Certain subscription plans may describe features as “Unlimited”, “Unlimited Storage”, “Unlimited Concierge” or by similar wording. These descriptions are intended to indicate that Waypilot does not impose fixed numerical quotas on ordinary personal use.
References to “Unlimited” should not be interpreted as providing unrestricted access to computing resources, storage capacity, network bandwidth or artificial intelligence processing. Like all online services, Waypilot operates on shared infrastructure and reasonable measures are necessary to ensure the continued availability and performance of the Services for all users.
Accordingly, all unlimited features remain subject to this Policy, the Terms of Service and any reasonable technical safeguards implemented to protect the integrity of the platform.
3. Acceptable Personal Use
Waypilot is intended to support genuine travel planning and travel management activities.
Normal use of the Services includes creating itineraries, storing travel documentation, maintaining travel journals, uploading booking confirmations, communicating with the AI Concierge regarding travel matters, researching destinations, recording travel experiences and organising future journeys.
Waypilot does not expect typical users to monitor the quantity of documents they upload, the number of trips they create or the frequency with which they interact with the AI Concierge, provided such activity remains consistent with genuine personal travel use.
4. Storage of Content
The storage facilities provided through Waypilot are intended solely for content that relates directly or predominantly to travel.
This includes, without limitation, booking confirmations, travel itineraries, accommodation reservations, transport tickets, insurance documentation, travel photographs, travel receipts, passport or visa copies where the user chooses to upload them, travel journals, notes, destination research and similar material associated with a user’s journeys.
The storage functionality provided by Waypilot is not intended to replace dedicated cloud storage or online backup services.
Users must not use Waypilot primarily to store content unrelated to travel, including but not limited to personal file archives, computer backups, mobile device backups, business records, media collections, software repositories, surveillance recordings, file sharing libraries or other large repositories of data having no genuine connection to travel planning.
Where Waypilot reasonably determines that an account is being used primarily for non-travel storage, it may require the removal of such content or impose reasonable restrictions in accordance with this Policy.
5. Use of the AI Concierge
The AI Concierge is designed to provide assistance relating to travel planning and associated activities. This includes providing destination information, itinerary suggestions, transport guidance, travel recommendations, local customs, budgeting assistance, packing advice and similar travel-related support.
The AI Concierge must not be used primarily as a general-purpose artificial intelligence service. While occasional incidental requests falling outside travel may be accommodated, the principal purpose of the service must remain travel planning and travel assistance.
Users must not use the AI Concierge to operate automated workflows, generate excessive volumes of content unrelated to travel, replace commercial AI services, benchmark artificial intelligence models, or perform activities that place an unreasonable demand upon Waypilot’s computing resources.
Waypilot reserves the right to implement reasonable technical measures designed to prevent automated or abusive use of the AI Concierge while ensuring that ordinary travel planning remains unaffected.
6. Automated Access
Access to the Services must occur through the interfaces and methods made available by Waypilot.
Except where expressly authorised, users must not employ automated scripts, bots, crawlers, scraping software, artificial request generation, API abuse, unattended automation or similar technologies designed to generate excessive or artificial usage.
Users must not attempt to circumvent any technical limitations, security controls, authentication mechanisms or usage protections implemented by Waypilot.
Reasonable integrations or automation features expressly supported by Waypilot remain permitted.
7. Commercial and Organisational Use
Unless expressly authorised by Waypilot in writing, the Services are intended for individual personal use.
Users must not use the Services as the primary platform for operating a commercial travel agency, providing paid travel planning services to third parties, operating document hosting services, supporting commercial AI products, or delivering software or infrastructure services to others.
Nothing in this Policy prevents ordinary business travellers from using Waypilot to organise their own work-related travel.
8. Prohibited Activities
Users must not use the Services in any manner that is unlawful or which may interfere with the operation, security or reputation of Waypilot.
Without limitation, prohibited activities include attempting to gain unauthorised access to another user’s account, distributing malicious software, introducing viruses or other harmful code, interfering with the operation of the Services, performing denial-of-service attacks, reverse engineering security mechanisms, or using the Services for fraudulent or deceptive purposes.
Users must not upload, store or distribute content that infringes the intellectual property rights of others, violates applicable law, contains unlawful or exploitative material, promotes terrorism or violent extremism, facilitates fraud or identity theft, or otherwise places Waypilot at legal or regulatory risk.
Users remain solely responsible for the content they upload and for ensuring they possess all necessary rights and permissions relating to that content.
9. Fair and Reasonable Use
Waypilot recognises that different users travel in different ways. Some users may take numerous trips each year, upload thousands of photographs or communicate extensively with the AI Concierge. Such activity will not, in itself, constitute excessive use.
When assessing compliance with this Policy, Waypilot considers the overall nature, purpose and pattern of usage rather than applying arbitrary numerical thresholds.
Usage may be regarded as unreasonable where it substantially exceeds that reasonably expected from genuine personal travel planning, where it is clearly unrelated to travel, where it attempts to exploit the Services as an alternative to dedicated cloud or AI platforms, or where it materially affects the stability, performance or availability of the Services for other users.
Waypilot does not monitor individual accounts for the purpose of identifying heavy legitimate travellers. Rather, the objective of this Policy is to prevent deliberate misuse of shared infrastructure while allowing genuine users to benefit from the Services without unnecessary restrictions.
10. Security
Users are responsible for maintaining the confidentiality of their account credentials and must take reasonable steps to prevent unauthorised access to their account.
Any suspected compromise of an account should be reported to Waypilot without undue delay.
Users must not attempt to test, probe or compromise the security of the Services without Waypilot’s prior written consent.
11. Monitoring and Enforcement
Waypilot may monitor the operation of the Services, including patterns of system usage, for the purposes of maintaining platform security, detecting abuse, investigating suspected breaches of this Policy, preventing fraud, complying with legal obligations and improving the reliability of the Services.
Such monitoring will be carried out in accordance with applicable data protection legislation and the Waypilot Privacy Policy.
Where Waypilot reasonably believes that an account may be breaching this Policy, it may investigate the relevant activity and, where appropriate, contact the account holder to request further information or invite corrective action.
Where reasonably practicable, Waypilot will seek to resolve concerns through engagement with the user before imposing restrictions.
However, Waypilot reserves the right to take immediate action where this is reasonably necessary to protect the security, integrity or availability of the Services, to prevent harm to other users, to comply with legal obligations, or where the suspected breach is sufficiently serious that immediate intervention is justified.
Such action may include temporarily restricting access to particular features, limiting automated activity, suspending uploads, restricting access to the AI Concierge, suspending the relevant account or terminating access to the Services.
Nothing in this Policy prevents Waypilot from reporting unlawful activity to the appropriate authorities where required by law.
12. Repeated or Serious Breaches
A serious breach of this Policy, or repeated breaches following notification from Waypilot, may result in permanent suspension or termination of the user’s account.
Where an account is terminated for breach of this Policy, Waypilot reserves the right to refuse future registrations from the same individual where reasonably necessary to protect the Services.
Termination under this Policy shall be without prejudice to any other legal rights or remedies available to Waypilot.
13. Amendments
Waypilot may amend this Acceptable Use Policy from time to time in order to reflect changes in technology, legal requirements, security risks or the Services themselves.
The latest version of this Policy will always be made available through the Waypilot website and application.
Continued use of the Services following the publication of an updated Policy constitutes acceptance of the revised terms.
